Orca Meet · Teams, Zoom and Google Meet · Runs in the cloud

Part of Orca

The notetaker that turns up for you. Laptop open or not.

For any Teams, Zoom or Google Meet invite in your calendar, a participant called whatever you have named it joins a minute before the start and records. A few minutes after the call ends, the transcript is in Orca with the real names against each line, a summary, and the action items pulled out. It runs on your Orca project in the cloud, so it does not matter whether your machine is on, or whether you are even on the call.

Meet is part of Orca, included in the licence. Transcripts, summaries and share links live only in your own project. The call video is kept for 30 days unless you press Keep; the transcript stays.

You do nothing. That is the feature.

No app to open before the call, no button to press when it starts, no upload afterwards.

1

It reads your calendar

Across every connected mailbox. Any invite with a Teams, Zoom or Meet link in the next 24 hours gets a notetaker scheduled against it. Add a call late and it is picked up on the next scan.

2

It joins, under your name for it

A minute before the start, a participant with the name you chose and its own video tile joins and records. If your organisation holds guests in the lobby, you admit it like anyone else.

3

The write-up arrives

Transcript with named speakers, a summary, action items with owners, keywords. In Orca's Meetings view, in your Notes, and as a markdown file in a folder you choose.

The write-up

Real names on the lines, not Speaker 1 and Speaker 2.

The transcript is matched against who was actually in the call, so it says Dani said this and Sam said that. Where a platform only gives an id, Orca resolves it from the participant list. If one still comes through wrong, rename the speaker once and every line of theirs follows.

  • Summary and action items, each action with an owner and a due date where one was said. Nothing in the transcript itself is rewritten.
  • Your words, spelt right. Product names, client names and the people you mention most go in a glossary, and the transcription uses it.
  • Feeds the rest of Orca. The notes land in Orca Notes and the follow-up email drafts itself from the actions.

The video and the share link

Thirty days of video. The transcript, for good.

The call video is kept alongside the transcript for 30 days and then deleted, unless you press Keep on that meeting, in which case it stays. The transcript, summary and actions are permanent either way. A meeting you were told about but never watched does not need to sit on a server forever, so by default it doesn't.

Share a link, not a file

Press Share on a meeting and the link is on your clipboard. The page has the video with captions, the summary, the action items and the transcript; click any line and the video jumps to it. Summary only, or the full thing, your choice. Revoke switches it off. Links carry no email addresses, no ids and no join link, and expire after 90 days.

Skip any meeting

Press Skip next to it in the Meetings view, put [no notes] in the invite title, or set domains and keywords that never get a notetaker. The Telegram message that says "Orca joins X at 10:00" has a Skip button on it too, for the one you forgot about.

The awkward cases, handled.

Notetakers fall over on the edges. These are the ones that came up, and what Orca does about each.

Zoom, signed-in only

Some Zoom hosts allow only authenticated users, and an anonymous notetaker is refused at the door. Orca signs the notetaker in with a Zoom account so it gets through.

Several mailboxes

Invites in any connected account are covered. The meeting record remembers which mailbox it came from, so two businesses' calls do not get mixed up.

A call with no invite

Paste the link into Orca and press "Send Orca to a link". It joins now. For the ones a notetaker cannot join, or in person, Orca Screen records the window instead.

Your project, your data

Transcripts, summaries and share tokens live in your own Orca project. The recording provider holds the audio only as long as it takes to transcribe, then it is deleted unless you have chosen to keep audio.

Told when it matters

Optional Telegram messages: "Orca joins X at 10:00" with Skip, and "Transcript ready" with Share and Open. Nothing if you would rather just find it in Orca.

A file you own

Every finished meeting is also written as a markdown file into a folder on your machine, with the summary, actions and transcript. Open it in whatever you like.

Why not Fireflies, Otter or the built-in one

The transcript was never the hard part. What happens to it is.

The standalone notetakers all transcribe fine. Then the transcript sits in their app, under their brand, on their retention terms, and the action items are a list you copy somewhere else. The built-in ones in Teams and Meet are tied to that one platform and that one tenant.

Orca Meet feeds the thing that already knows the people. The actions become follow-ups. The notes go into the same memory the inbox and the calendar use. The next time you have a call with Dani, the prep says what Dani agreed to last time, because the same system wrote both. And the data sits in your project, not a vendor's.

Also it is included. Orca already runs your inbox and calendar, so the notetaker is one more thing it does, not one more thing you pay for.

Questions people ask

What do the other people on the call see?

A participant with the name you have set for it and a video tile, the same as any other attendee. They can see it is recording. There is no hiding it, and there should not be.

Does it work if I am not on the call myself?

Yes. The notetaker joins on its own, from the cloud. Your machine being off, or you being on a train, makes no difference. The write-up is there when you look.

What if the host does not admit it from the lobby?

Then there is no recording, and Orca tells you so rather than pretending. For the next one, mention it to the host, or record the window yourself with Orca Screen.

How long do you keep things?

The video, 30 days unless you press Keep. The transcript, summary and actions, until you delete them. Share links expire after 90 days. The audio at the transcription provider is deleted once the transcript is stored, unless you have chosen to keep it.

Does it need Microsoft 365?

For the notetaker to join meetings from your diary by itself, yes: it reads Microsoft 365 calendars, through the same permissions Orca uses for mail, and if your organisation has to approve the Orca app that comes first (the install page covers it). On Google, Orca still runs your mail and calendar, and you send the notetaker to any Teams, Zoom or Meet link yourself.

Be on the call. Or don't. The notes turn up either way.
